Position Title: Surgery Scheduler – Full-Time – Women’s OB/GYN
Reports To: Manager/Regional Operations Manager
FLSA Status: Non-Exempt
Clinic: Women’s OBGYN
Location: Santa Rosa, CA
Schedule: Full-Time, Monday – Friday

GENERAL SUMMARY OF DUTIES: Makes and schedules patient surgery appointments in an efficient and timely manner.

SUPERVISION RECEIVED: Reports directly to Office Manager or Regional Manager.

SUPERVISION EXERCISED: None

TYPICAL PHYSICAL DEMANDS: Requires prolonged sitting, some bending, stooping and stretching. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports. Requires lifting papers or boxes up to 50 pounds occasionally. Requires dexterity to type 60 wpm.

TYPICAL WORKING CONDITIONS: Work is performed in a medical office environment and involves frequent interaction with patients, staff, doctors, and Surgery Center staff, in person and on the phone. Work may be fast paced, involve multitasking, and may be stressful at times. Work may require tact, understanding, and kindness to deal with occasional anxious or upset patients.

EXAMPLES OF DUTIES: (This list may not include all of the duties assigned.)

1. Books, coordinates and reschedules patient surgery, pre-op and post-op appointments. Relays necessary messages to doctors and staff.

2. Schedules patients in a prompt, pleasant, and helpful manner. Verifies necessary logistical information in the medical record.

3. Obtains insurance benefit information and prior authorization as needed. Ensures payor is contracted and in-network with doctor’s office and facility.

4. Maintain good rapport with ancillary facilities and staff.

5. Maintains and updates current information on physicians’ schedules.

6. Answers telephone, screens calls, takes messages and provides information.

7. Schedules surgeries and admissions as requested.

8. Answers questions regarding patient appointments and testing.

9. Attends meetings as required.

10. Performs related work as required.

PERFORMANCE REQUIREMENTS:

Knowledge, Skills and Abilities:

Knowledge of business office procedures. Knowledge of grammar, spelling and punctuation to type patient information. Skill in operating a computer and photocopy machine. Skill in answering the telephone in a pleasant and helpful manner. Ability to speak clearly and concisely. Ability to read, understand and follow oral and written instructions. Ability to sort and file materials correctly by alphabetic or numeric systems. Ability to establish and maintain effective working relationships with patients, employees and the public.

Education: High school diploma or GED.

Experience:

1. One year work experience, preferably in a medical office setting, and performing the duties of surgery scheduling.

2. Must be detail oriented

3. Knowledge of CPT and ICD-9 required.

4. Knowledge of medical terminology required.

5. Microsoft Word and computer experience required.

Certification/License: Medical Assistant Administrative or Clinical training, preferred.

Alternate to Minimum Qualifications:

Additional appropriate education may be substituted for one year of work experience.
