This is a combination position of both front and back office roles. Applicants are required to meet the requirements of both positions to be considered for the position.

JOB TITLE: Front Office Combination

LOCATION: Santa Rosa, CA

GENERAL SUMMARY OF DUTIES: Provides a variety of secretarial duties to physicians and other members of the clinic.

SUPERVISION RECEIVED: Reports directly to Office Manager/Supervisor or Regional Operations Manager


TYPICAL PHYSICAL DEMANDS: Requires prolonged sitting, some bending, stooping and stretching. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports. Requires lifting papers or boxes up to 50 pounds occasionally. Requires dexterity to type 60 wpm.

TYPICAL WORKING CONDITIONS: Work is performed in an office environment. Involves frequent contact with staff at times. Work may be stressful at times. Contact may involve dealing with angry or upset people.

EXAMPLES OF DUTIES: (This list may not include all of the duties assigned.)

1. Performs secretarial/clerical duties including medical transcription, composition and dictation in a medical group.

2. Prepares and processes correspondence. Answers routine inquiries and drafts letters.

3. Answers telephones, screens calls, takes messages and provides information.

4. Provides support services to patients and medical staff. Schedules appointments and admissions as requested.

5. Maintains appointment books for patients, meetings, travel, etc. Arranges meetings.

6. Prepares charts and timetables. Assists with preparation of agendas, materials, notes, etc.

7. Attends meetings and takes minutes.

8. Maintains files. Assists in establishing office systems.

9. Orders office supplies. Assists in the care and maintenance of office equipment.

10. Books, coordinates and reschedules patient appointments. Relays necessary messages to staff.

11. Answers questions regarding patient appointments and testing.

12. Greets and registers patients in a prompt, pleasant and helpful manner. Verifies necessary information and records in the medical records.

12. Assembles patient’s charts for the next day’s visits. Updates profiles on all patients.

13. Assists with preparation of agendas, materials, meeting, etc.

14. Overseen waiting area, coordinates patient movement, reports problems of irregularities.

15. Maintains patient confidentiality.

16. Performs related work as required.


Knowledge, Skills and Abilities:

Knowledge of medical office procedures. Knowledge of grammar, spelling and punctuation to type from draft copy, review and edit reports and correspondence. Knowledge of basic arithmetic to make calculations, balance and reconcile figures and make any changes accurately. Skill in operating a computer, Dictaphone and copy machine. Ability to read, understand and follow oral and written instructions. Ability to speak clearly and concisely. Ability to establish and maintain effective working relationships with patients, employees and the public.

Education: High school diploma or GED.


1. Two years experience in a medical office.
2. Knowledge of medical terminology.
3. Typing ability of 60 wpm. Familiarity with dictation recorder.
4. Word processing and computer experience.

Certificate/License: Certificate/License: Must be a California Certified Medical Assistant – Administrative. If state certification is not present at time of hire it must be done within the first 90 days of employment. The only exception is when an employee has a higher level certification.


Additional appropriate education may be substituted for one year of medical office experience.

JOB TITLE: Medical Assistant (Tech)

GENERAL SUMMARY OF DUTIES: Assists in the delivery of primary health care and patient care management.

SUPERVISION RECEIVED: Reports directly to Office/Manager/Tech Supervisor or Regional Operation Manager.


TYPICAL PHYSICAL DEMANDS: Requires full range of body motion including handling and lifting patients, manual and finger dexterity and eye-hand coordination. Involves standing and walking. Occasionally lifts and carries items weighing up to 100 pounds. Requires normal visual acuity and hearing. Requires exposure to bodily fluids.

TYPICAL WORKING CONDITIONS: Frequent exposure to communicable diseases, toxic substances, and ionizing radiation, medicinal preparations and other conditions common to a clinic environment.

EXAMPLES OF DUTIES: (This list may not include all of the duties assigned.)

1. Performs selected nursing within their scope of practice (BP, temperatures, apply bandages etc) and administrative duties.

2. Performs venipuncture, arterial and capillary punctures on patients. Identifies and labels specimens.

3. Prepares patients for examination and treatment. Takes patient histories and vital signs.

4. Prepares exam and treatment rooms with necessary instruments.

5. Prepares and maintains supplies and equipment or treatments, including sterilization.

6. Assists physicians in preparing for minor surgeries, physicals.

7. Assists with scheduling of tests and treatments.

8. Screens telephone calls for referral to nurse or physician.

9. Provides general information on departmental policies and procedures.

10. Orders and maintains clinical and office supplies and equipment.

11. Maintains patient files, records and other information.

12. Attends required meetings and participate in committees as requested.

13. Participates in professional development activities and maintains professional affiliations.

14. Maintains patient confidentiality.

15. Performs related work as required.


Knowledge, Skills and Abilities:

Knowledge of medical practice and care to assist in giving patient care. Knowledge of examination, diagnostic and treatment room procedures. Knowledge of medical equipment and instruments to administer patient care. Knowledge of common safety hazards d precautions to establish a safe work environment. Skill in assisting in a variety of treatments and medic ions as directed. Skill in taking vital signs. Skill in maintaining records and recording test results. Skill developing and maintaining department quality assurance. Skill in establishing and maintaining effective working relationships with patients, medical staff and the public. Ability to maintain quality control standards. Ability to react calmly and effectively in emergency situations. Ability to interpret, adapt and apply guidelines and procedures. Ability to communicate clearly.

Education: Graduation from an accredited program for Medical Assistants.

Certificate/License: Must be a California Certified Medical Administrative Assistant. If state certification is not present at time of hire it must be done within first 90 days of employment
