JOB SUMMARY

To assist the front desk in maintaining patient charts, including, but not limited to: scanning, pulling, and filing accurately. To assist with mailing, troubleshooting, and copying of medical records. Bilingual preferred. Computer experience required. Office experience preferred.

KEY RESPONSIBILITIES/DUTIES

General
Be familiar with Northern California Medical Associates’ Notice of Privacy Practices

Specific

  • Pull older charts for upcoming scheduled appointments
  • Prepare cataract folders, pre-operative information sheets, and consent forms for surgery coordinators
  • Print and mail new patient forms
  • Print or copy medical records, mail or fax them, and document the disposition in patient’s chart
  • Fax diabetic and glaucoma screening exam sheets, records requests and dictations to referring doctor
  • Scan and file exam notes, test results, correspondence, requested records, authorizations to release information, etc., into appropriate tabs in patients’ electronic charts
  • Scan and send insurance forms to the eligibility pool
  • Manage flow of dictated correspondence (print, get signature, mail, document in chart)
  • Open and distribute incoming mail
  • Place all confidential unneeded documents in shredding bins

ADDITIONAL DUTIES

  • Monitor file clerk supplies (labels, post-its, glue sticks and prepaid postage amount, mailing envelopes, etc.) and request reorders in a timely way
  • Additional duties as needed

QUALIFICATIONS:

  • High School Graduate or GED required
  • Some college preferred
  • Computer proficiency
  • Some medical or optometric office experience preferred
